Video: Managing Linked Zanda Accounts

00:04 Hello, Irina here from Zanda. In this video tutorial, I will tell you about the feature that allows, uh, professionals like virtual assistants, bookkeepers, and admin teams to access multiple Zanda accounts with just one login.

00:24 Feature that we provide allows you to have a Zanda account with access that can be linked to multiple Zanda accounts for that one login purpose.

00:37 Any Zanda account can be an account with access that will allow you to switch between multiple Zanda accounts. It can be your regular Zanda account that you use for providing care to your clients and then you can also use it for switching between other Zanda accounts.

00:59 Or you can just use this Zanda account only for switching between multiple Zanda accounts purposes. If you are a virtual assistant and you provide services to other practices who use Zanda accounts.

01:15 If this is the second case, you can just create a free trial account with Zanda and then contact our support team who will help you to finish setting up a free Zanda account without a paid subscription because you won't be using it for any clinical purposes, but just for that one login account with access

01:39 to other Zanda accounts. So once you have set up your Zanda account for accessing other accounts and if it's not just you who are working in your business.

01:53 And there are other team members who will be also needing to be switching between other Zanda accounts. You can create, you will actually need to create user profiles for each team member who will also be needing to switch between different Zanda accounts so that they also have that one login option.

02:20 So what I have here open on my screen is my account with access. For the ease of explanation, let us call it my virtual assistant account.

02:34 And we will go into the settings menu and we will go into the team category click on users menu. And here you will need to create a user profile for each team member in your virtual assistant business.

02:51 So every admin, every virtual assistant team member who will be working with other practices providing them services will need to have their own user profile.

03:04 You can enhance the security of access by enabling the 2FA, the two factor authentication on each user profile. So this is where there will be the point of login for every team member if your business has multiple team members.

03:23 So this is where you will set up the user logins and two factor authentications. That's it. We've set up the account with access with Zanda and we've set up user profiles for every team member logins for the account with access.

03:41 for your, let's say, virtual assistant business. This part of the video, I will share the instructions for the master user of the different Zanda account that we will be linking to the account with access.

03:58 So the first step for you is to create the user profile for the account with access. Let's go into the settings menu and in the team category, let's find settings for users.

04:11 Here you will need to create a new user profile. I created one already for the demonstration purposes. You can give it a name that makes sense to you and you can even use the email address that doesn't exist.

04:26 You don't need to share the login details for the account with access users because they won't be using them. The system will be automatically logging them in when this switch into your account from their account with access.

04:40 That's the whole purpose of this feature. And then here, you will define their permissions for them as when they log in as virtual assistants, for example, to provide the services.

04:54 So for example, if they come to help with invoicing and billing, you can enable edit appointments, invoice charges, access all calendars, edit appointments, or access wait list if you invite them to help with managing wait list clients and so on.

05:11 So this is where you will define what level of access they have. And once you've set this all up, that's all you are done.

05:20 You have set up the user profile and that's where you define what kind of access they have in your account.

05:27 When the master user of your virtual assistant account of the account with access share the generated access code with you.

05:37 You as a master user of the linked account will go into the master user menu. You will click on the business name of your account here at the top and select the Change Account Submenu.

05:54 Here you will need to click into the Allow Access to this Zanda Account menu. Click View Details and and enter the code you received into the Access Code field and click Validate Code.

06:09 So if the code is valid, if it's less than 72 hours old, the code will be validated and now you need to select through which user profile this connection will be established.

06:23 Remember, we just created the user profile for this access. We defined what level of permissions for this user access will be available.

06:35 And we will select that user. We created admin access for this connection. And let's click, so we select this user profile now and click grant access.

06:46 So access is granted. And below in the accounts with access menu, you, we can see that this is now listed as, so account name with access to your Zanda account is your clinic.

07:02 So this is the name of our virtual assistant account linked into your account. Access via the username admin at admin access.com.

07:14 And at any time, you as a master user of your own Zanda account can revoke access from this account, from the virtual assistant or another account that you allowed access into your account.

07:31 So you can revoke this access at any time. That's it. And in your case, if you need to access into another Zanda account, this feature is available to you as well.

07:47 Well, that's it. We finished connecting or linking the two accounts. They account with access and the linked account. Let's have a look how this works.

08:00 Now, all the users that have their user profile in the virtual assistant account in the account with access will only need to log in one time into the account with access and once they've logged in they will be able to switch between all the linked Zanda accounts.

08:20 So let's say I am a person who works in the virtual account, sorry, in the virtual assistance business. I have logged in and to start working and to log in between different Zanda accounts and to provide my services.

08:37 I will only need to click on the business name of the account with access. Select Change Account. And here at the top, I will click on Select another account to access and I see all the different Zanda accounts that I linked that my business provides services to and I can select which account I can log

09:01 into. For example, this is a trial account. But this is a new practice that just started working with Zanda, and I'm helping them set up their Zanda account so that they can start using it for their practice.

09:17 And I can proceed. Once I've finished helping them, I'll click on business name here at the top. Click change account, select different practice, and for example health solutions, I'm switched back into their account.

09:35 Here I can already see a different set up. My services for them have a different permissions. My permissions are limited.

09:43 For example, I can go into wait list and start helping them managing their wait list. Once I've finished with them, I can go again change account, switch into a different account.

09:56 For example, people first cleaning. I'm not able to change this account, maybe that account has revoked my access to that account, so I might give them a call and find out what's happening.

10:10 And I can go, click back, change account and switch into another account and continue providing my services. So that's how this feature works.
