Video: Using Bulk Send Communication Feature

Justin from Zanda 0:05 Hey everyone, Justin here from Zanda, and today I'm gonna run you through how to use the bulk send feature that you have in your Zanda account.
0:12 Now the bulk send is a great way to communicate with a large group of clients for situations such as maybe you wanna send out a newsletter or just inform clients of a clinic closure period that's coming up, and it's a way to do that very quickly without needing to go into every client and send an email or SMS one by one. So to access the bulk send, we're just gonna come over to the tools area in the main menu, where we're gonna go to communication, and then you can see the bulk send is sitting just here, but we are gonna pump the brakes for a second, something you're gonna wanna make sure you have  done already is going into the templates area, so the exact same section, so tools, communication, but then just templates up here, and make sure you've created the template that you wanna send out to the group of clients that we're gonna add as recipients.  Now you can do this for email and SMS, And I will just note as well, obviously there is the additional charge for SMS. So do keep that in mind when you are doing a bulk send utilizing SMS. Of course, if you're doing a bulk send with email, that's completely free. So I've already created a template. So we're going to use that one. But do remember to do that and we're going to jump into the bulk send. Now the reason I made a little bit of a big deal about making sure the template is done is just because the very first thing you're going to have to do is select the template that you actually want to use or the template that's going to be sent out to everyone. So in my case, I have a new services offer, letting people know about new services and I've got a special offer if they want to do that once I have selected the template I'm going to go in here and choose recipients. So once we do that, we're going to be presented with this page, which is the full advanced filter search list that you can utilize in other areas of the system. Now, what you can do here is mix and match all of these filters to your hearts content to get a very specific group of clients that you want to send out to. So it makes sending out purposeful communication on mass a little bit easier. So you can mix and match as many of these as you want. Some of the really good ones are things such as had an appointment between. So if there was people that had an appointment between certain periods, you can load them in, you can have no appointments between, no future appointments, you can kind of get the idea of all the things you can use. Now one of the very important ones, especially in my case, because it is a marketing email that I'm sending out. It's a special offer for some new services. I do want to make sure where I've got this marketing in communication drop down, I want to make sure that I am selecting only the people who have opted in. And that's an important one to just remember if you are sending out a marketing email just making sure you select the opted in only so you're only bringing in clients who have said that they're happy to receive a marketing communication. So I'm just going to select that one for now and then I'm going to come down to the bottom and I'm going to just hit get clients. So I'm going to let the system think for a second and you can see it has just pulled this entire list of clients just sitting in here. So if I'm happy with this list I can either deselect it by clicking this everyone by hitting this little tick at the very top next to the name column and I can click it again to reselect everyone I can obviously go through and select certain people one by one if I want to. For me I'm happy with this list so what I'm going to do is come down to the very bottom of the page and hit add recipients. And so once we've done that the next page we're going to be shown is this one that's going to just show us all the people that we've brought in just in case we want to make any final tweaks because I can still deselect certain people if I want to. And then once I'm happy, I can essentially just hit send message and it's going to basically just ask me to confirm again, am I happy to send this. And so once I hit yes, I'm going to get this little green box down here, which I'm just going to hold my mouse on so it stays up. That's going to just let you know, hey, depending on the size of the list, this might take between 10 to 20 minutes. But as soon as you've hit send message and you've seen this little green box, you can safely navigate away from this page You don't need to stay sitting on here. That is going to just happen in the background And the important thing to remember with the bulk send is that this is not going to be a case where a whole bunch of people are going to Be in a group or something. This is going to send individual emails to each and every person on the list So as far as that person is concerned, you're just sending it only to them They're going to be in a big group with other people.  So that is how to use the bulk send. And I hope it's going to help you out because it does make sending mass communication a lot easier.
