In this video, I’m going to show you four different ways to add new clients to your Zanda account.
0:12 Creating a New Client via the Calendar
First of all, and perhaps most common is to do this via the appointment, the main calendar page. To do that, you just select the appointment time. And over here, you can either search for an existing client or you can click on this add new client in here. You just simply add the new client. So I’m going to say, would help if I could type. Jackie, let’s say, Miller. You can enter the person’s phone number, email address, and so forth. You can also add here a date of birth, along with their address. So, this form was designed to be really simple to be used, and you can do it on the fly. So, if someone rings out, they want to make an appointment, you can do that. You can choose to grab all the information at the time, or just a small amount of information, and then you can send them out a form, for instance, to collect the rest. Once that is done, you just click save, and what you’ll see here is that this appointment for Jackie Miller was made, but also a client profile was made. So I’m going to double-click on Jackie, and you can see we’ll actually look, and we’ll now be in a client profile.
So you can fill it out if you like. Okay, that’s method number one for creating a new client.
1:26 Creating a New Client via the People Menu
Method number two, if we go over here to People and then I’m just going to move this out of the way. Go to People and now I’m going to click on Add. Here, add a new client, and the same thing. Just complete their information, click on Next, and it will do the same as we just saw. It will create a brand new client profile in your account. So that’s method number two.
That’s very good to use if, for instance, the person doesn’t have an appointment yet, or they’re not ready to make one. They ring up, you want to register them in the system, send some information to them, and so forth, you can do it this way.
1:56 Creating a New Client via the Client Portal
Method number three is to use the client portal. The client portal actually allows clients to log in, make their own appointments, print their own invoices, complete forms, and so forth. You have complete control over your client portal, but I’m just going to show you how it works in terms of adding new clients.
So this is what the client portal looks like. You can actually customize this to your own branding. But in this scenario, I’m going to show the person who clicks on login and click here register here. Now, if they complete that information, that’s actually going to create a client profile in your Zanda account.
As I say, you have complete control over this. You don’t need to allow new clients to book this way. You can set your client portal to only allow existing clients to make appointments. But if you do want to accept new clients this way, you can do that and it will enter them in the system for you.
2:49 Creating a New Client via Data Import
Finally, method number four for getting clients into your account. So here we’re going to look at, go back down here to Settings. And we’re going to go to Data Import.
If you are new to Zanda and you’re setting up your account, often you may have information you want to import to your account.
You can do that securely by this method. So I went to Settings and then Practice Data Import. This takes you to this page here. You can complete a form and also drag and drop any files that you have that you would like imported. So this might be an Excel or CSV file of your existing clients and their details. If you drop them in here, they’ll securely get sent to our internal dedicated data import team. It’s completely free. They’ll do that for you. They’ll also be in contact to confirm any details and the timing of that import.
So that’s the fourth way to get clients into Zanda.
3:53 Recap
So, a quick recap: the way to do it is most common by the calendar. Number two, you can use the people menu and add number three, you can use the client portal. Number four, particularly, if you’re setting up, you can actually send us your client details and we will import them for you.
Thanks very much for watching and do be sure to continue watching this series.
