Hello and welcome to a new tutorial video. In this video, we’ll continue talking about invoicing and payment in Zanda. Specifically, we’ll explore how to invoice a client’s contact instead of the client.

This can be useful in cases where the client is a minor, has a disability, or when someone else—like a parent or guardian—is responsible for payments.
Creating a Contact Profile for the Payee

Let’s look at how to manage this in Zanda. First, we need to create a contact profile for the payee.

Go to People > Contact, then enter the relevant information for this person. Click Next to create the contact profile.
Linking the Contact to the Client

Once the contact profile is created, connect it to the relevant client. Use the Search to find the client, then in their profile, go to Contacts and click Add New Contact.

Search for the existing contact you just created and save. Now, the client is linked to this contact.
Assigning Billing Responsibility to the Contact

Next, in the client’s profile, go to Billing > Billing Setup. Under Bill to, select Contact and choose the connected contact profile. Save your changes.
Creating an Invoice Payable by a Contact

Let’s create an appointment and generate an invoice. Choose the service and save. Click the pencil icon to view the invoice settings—you’ll see the invoice is set to be payable by the contact.

That’s how you assign billing to a contact by default. But you can also assign just one invoice to a contact without making them the default payee.
Assigning a Single Invoice to a Contact

To do this, find the appointment or invoice, open the Edit Invoice page, and in the Payable By section, select Contact instead of the client. Save the changes.

This reassigns that specific invoice to be paid by the contact only.
Processing a Payment from the Contact

Now, let’s talk about payments. Once the invoice is billed to a contact, open the side panel, select a payment method, and save.

That’s it—the invoice has been paid.
Viewing Invoices and Payments

To review how these records appear, go to the client’s profile and open Billing > Invoices. You’ll see a list of invoices and a Payable By column showing the contact's name instead of the client’s.

If you check the Payments page in the client profile, it will be empty. That’s because the payment is recorded under the contact’s profile.
Viewing Payment Details in the Contact Profile

To view it, either use Quick Search to find the contact or, from the client’s profile, go to Contacts, open the connected contact, and click View Contact’s Full Profile.

Inside the contact profile, under Billing > Invoices, you’ll find the invoices paid by this contact. Go to the Payments tab to see the payment records, including when and how it was paid and which invoice it was linked to.

If you're using Stripe for online payments and the contact is the default payee, you’ll need to save the card details under the contact’s profile, not the client’s.

Go to Billing > Billing Setup, click Add Card, and enter the contact’s details. Or, if you’re processing a payment for an invoice billed to the contact, those details will automatically save under their profile via Stripe.
