Managing Logins and Email Addresses in Zanda

In Zanda, each user profile must have a unique email address which is also used for logging in purposes.

Why Email Logins Matter

  • Every user must have a unique email for login and password recovery.

  • Shared email addresses across profiles can prevent login or cause conflicts, therefore using the same email address for multiple user profiles isn't allowed.

  • Using unique user emails ensures each team member can log in securely.

This wasn’t a concern in the past when many practices used usernames (like JohnSmith) instead of email addresses to log in.

Now that email-based login is required, some accounts may face difficulties if the same email address is linked to multiple users.

This article explains how to:


Changing a User’s Email Address

  1. Log in as a Master User (or an Admin with permission to manage users).

  2. Go to Settings > Team > Users.

  3. Select the user you want to update.

  4. Update the Email Address field.

    • If the email is already linked to another user, see below for solutions.

  5. Save changes.


Changing Your Own Email Address

You can find and update your user email address in your User Profile. Follow the steps below to update your login email.

  • Click on the account business name at the top-right
  • Select User Profile.
  • In the window that opens, update the email address and save:

Releasing Email Addresses from Inactive Users

If an email is linked to a profile you no longer use (e.g., for a former team member):

  1. Navigate to Settings > Team > Users.

  2. Find the inactive user profile.

  3. Update or remove the email address from that profile (e.g., replace it with a placeholder like inactive+revive@domain.com).

  4. Save changes.

  5. The original email is now available to assign to the correct profile.


Using the Same Email for Multiple Profiles

If you want to use the same email address for different profiles, you can add a unique identifier before the “@” symbol. Most email providers (like Gmail, Outlook, and many business domains) support this.

For example, if your main email is:

reception@yourclinic.com

You can create variations like:

reception+1@yourclinic.com
reception+2@yourclinic.com
reception+3@yourclinic.com

💡 All messages will still arrive in the same inbox reception@yourclinic.com, but Zanda will treat each email variation as as a unique login.


Tips for Smooth Login Management

  • Always keep a Master User profile active with an email that’s not shared.

  • When setting up team email addresses, use clear and consistent naming conventions—such as firstname+role@domain.com—to keep your accounts tidy and easy to manage.

  • If you’re unsure which users are tied to which emails, review under Settings > Team > Users.

  • For practices with many users, consider creating role-based email aliases (e.g., reception@domain.com, accounts@domain.com).
