00:04 Introduction to the Zanda Dashboard

We will talk about the four main components of the Zanda dashboard. They are the main calendar screen itself, the main menu sidebar, the top toolbar, and the calendar toolbar.

00:18 Navigating the Sidebar

Let's get started with the sidebar. The sidebar on the left side—this is where the main navigation menu of Zanda is. I will start with showing you how you can expand and collapse it. All you need to do is just click on these three lines, the sandwich button, to minimize it. Click it back, and you will unfold it. It's helpful if you are working on a smaller screen—on your phone, on your tablet, or on a smaller screen laptop—just to save you some space on the screen.

That's it. And now let's go from top to bottom, and I will explain what each button means. So wherever you are on your Zanda page, and you need to go back on your main calendar view, just click the calendar button and your calendar will load back.

01:13 Managing Clients and Profiles

The next button is the People menu—click to unfold it—and this is where you can click and add a new profile for different types of profiles on your Zanda account, such as clients, shared profiles, contacts, referrals, and third parties. Quickly add their basic details, click next, and then you will create a profile where you will be able to add more information about them.

In the Clients menu, you can quickly search for a specific client by their name, or use advanced search to look for more information about your clients, or click Show All. The system will provide you a list of all your active clients. The same search works for shared profiles, contacts, referrers, and third parties. You will also be able to open your waitlist, search for clients added there, or add new clients to it.

02:43 Sales, Invoices, and Payments

Let's go further through our Sales menu. This is where you can add a new sale—for example, creating a new invoice not linked to an appointment. You can add a new payment and generate lists of invoices and payments already in your Zanda account. For people managing accounts and invoices, the Sales menu is a one-stop shop.

03:28 Dashboard and Reports

The Dashboard gives you a quick glance at how your practice is performing: appointments, income, sales, and new clients. More features will be added to this area over time.

The Reports menu currently includes about 26 reports—covering practice activity, clients, finances, and system information. These will be discussed more in future courses.

04:12 Tools and Templates

In the Tools menu, you can manage communication templates and send bulk messages to clients. There's also Mailchimp integration. Trial accounts come with pre-made SMS, letter, and email templates—but you can also create your own. This saves a lot of time.

If you're in Australia, the Medicare integration tool is available. Otherwise, you can skip it.

05:27 Practice Manual and Settings

The Practice Manual contains over 100 ready-to-go procedures that help document how your practice operates. Just tweak them to suit your needs. Use it to onboard staff, maintain confidentiality and privacy policies, and more.

The Settings Springboard centralizes all configuration areas in your account. It includes eight categories for practice, team, schedule, communication, clients, session notes, billing, and payments. Everything you need to customize your account is right there.

Use the Help menu to access the chatbot or visit the Knowledge Base. If you think something isn't working, check the system status link. Finally, click the calendar icon to return to the main calendar screen.

07:26 Top Toolbar and Quick Search

The purple strip at the top includes the Zanda logo. Clicking it refreshes the page and takes you back to the calendar.

Next to that, the Quick Search bar is a very helpful tool. If you need to find something—a record that's already been entered into your Zanda account—please use the Quick Search. Click on it. First, you want to select what kind of information you're looking for: client, appointment, invoice, referrer, or third party. Enter any detail you have, such as the client's name, date of birth, email address, or invoice number. It’s a versatile tool, and you’ll see results instantly.

09:13 Dashboard Access and User Permissions

Click the dashboard icon to revisit your Dashboard. If you don’t see this or other items in the menu, it likely means your user role doesn’t have permission. In that case, speak to your practice manager to adjust access.

10:24 Using Quick Access Buttons

There are several useful quick access buttons:

  • Notepad: Leave a note for a team member or practitioner.

  • Waitlist: Same functionality as in the People menu.

  • Tasks Bar: Shows a count of tasks needing action. Mark them hidden when completed.

  • Messaging Panel: Open the SMS chat panel to view conversations, reply with templates, and see credit usage.

12:47 User Profile and Account Settings

Click your business name at the top to access your user profile. Each user will only see their own profile. Larger practices can link multiple accounts here.

You can update your email, password, add a signature, adjust your time zone, or enable two-factor authentication. Practitioners may also see access to their own practitioner profile, where they can:

  • Set insurer or provider details

  • Sync with Google or Outlook calendars

  • Connect Stripe for payments

At the end of the day, be sure to log out so that any system updates apply properly the next time you log in.

17:11 Calendar Toolbar and Filters

The calendar toolbar is located at the top of the calendar screen. Here’s what it lets you do:

  • Practitioner Filter: View all practitioners, individual ones, or groups.

  • Location Filter: Filter by in-person, Telehealth, etc.

  • Date Navigation: Skip forward or backward by a week.

  • Calendar Views: Switch between day, work-week, full-week, and monthly (one practitioner only).

  • Refresh: Useful in group settings to reflect changes made by others.

  • Private Mode: Hides client names for privacy when sharing your screen.

20:25 Additional Calendar Tools

Click the three-dot menu to:

  • Hide unattended appointments (e.g. no-shows)

  • Print a list of appointments

  • View the calendar legend

Use the Time Finder to quickly search for availability across locations and practitioners. It’s perfect when you’re on the phone with a client and need to book fast.

Use calendar filters to show only appointments with:

  • No, draft, or completed notes

  • Unpaid or paid invoices

  • Specific custom flags

This is a great tool to help you focus on your admin tasks or billing activities.
