User Permissions For Accountants

Grant bookkeepers or accountants access to Zanda for invoicing and accounting tasks with these permissions.

Your bookkeeper or accountant may need to have access to your Zanda account to help with invoicing and accounting, including exporting invoices and payments to Xero. Here, we will explain what user permissions to available features will be necessary, depending on the scale of job tasks your accounting staff members need to perform for you.

The permissions covered in this article specifically relate to accounting and financial data related access within your account.   1. For access to all reports and Xero Export:
    • Enable Two-Factor Authentication on their user account (enforced by Xero)
    • Enable Access All Calendars/Practitioners user permission
    • Enable Access Client Reports: Access to client reports includes:
      • Reports > Clients reports:

        1. Appointments

        2. Birthdays

        3. Statistics

        4. Classification

        5. Client Retention

        6. Referral Expiry

        7. New Clients

        8. Inactive Clients

        9. Membership Expiry

        10. Appointment Count

      • Reports > System reports:

        1. Deleted Appointments

        2. Recurring Expiry

        3. Export Appointments

        4. Marketing Logs

        5. Inactive Referrers

        6. Pack Expiry

    • Access Financial Reports: Access to financial reports includes:
      • Reports > Activity

      • Reports > Clients reports:

        1. Client Sources

      • Reports > Financial reports:

        1. Invoices & Payments

        2. Sales

        3. NDIS Bulk Upload

        4. Accounts Receivable

        5. Aged Receivables

      • Reports > System reports:

        1. SMS Usage

        2. Telehealth Sessions

        3. Recent Referrals

      • 'Access Financial Reports' will give access to Tools > Xero Export

2. For the ability to create and edit invoices and payments, allow access to

  • Access All Calendars/Practitioners
  • People Menu
  • Access all Referrer and Third Party Profiles: If enabled, the user can add, search, and access any profile that has the role of either referrer, third party, or both a referrer and third party.
  • Edit Appointments: Invoice Charges
  • Access Client Invoices and Payments

Note💡

With the above available features, the user will have no access to client appointments, but they will be able to record payments and locate and edit invoices via the  Sales menu.

If you'd like the accounting staff member to create invoices linked with client appointments, their User will need the following available features added: 
- Show All Appointments
- Edit Appointments
