Irina from Zanda 0:05 Hi there and welcome, Irina here. In this video, let us talk about the ways of sharing multiple invoices, paid and unpaid and showing the records of what payments have been received and allocated with your clients. 0:22 And for that, we have a wonderful feature in Zanda, it's the statements feature. So in this video let me show you how to use it.

Creating a statement in a client profile

0:31 Each client profile in Zanda allows you to create a statement and share it with the client. So we'll start with going to that profile. 0:41 You can use a quick search bar and look up for the client profile in question or if you see their appointment on the calendar just double click it and the client profile will open for you. 0:54 So we will go into the billing section, statements. All we need to do here is click this new statement button and let us have a look at what fields are available for us here. 1:08 We can select and create either a statement showing activity. In the activity statement paid and unpaid invoices will be included and also the record of payments that have been received and allocated in the statement period. 1:25 Or you can select just the outstanding invoices, and only unpaid invoices will be included in that statement. So let's go with the activity statement type. 1:38 Also by default, the statement time filters will be set up for these months. So it's July now and the filters are pre-filled from the first to the 31st of July, so let me keep it that way, but you can do this differently. 1:59 You can run a statement for one week or for a few months or for a year. It's up to you. 2:05 You can also add some custom information for this statement. It will be showing on the generated statement and you can also include or not include the provided by details, so they details of your practitioners, who were providing the services to your client, and also include the supplied two details 2:26 to show the client details, or if you deselect this, the statement will be de-identified. It won't be showing the client name on it. 2:37 But let's go with these most basic default settings and click show invoice and payments. So what you'll see here will be the list of invoices that have the invoice date that's within the selected statement dates. 2:56 By default, all those invoices will be pre-selected so they will have the check for them. And also, if there are any payments that have been allocated to those invoices, they will be listed here. 3:11 and any payments that have been received during that period also will be listed here. And now let's click create statement. 3:31 And the statement will be created with this default information as well. the date the statement was created the type, the title for it, the number of this statement and the time period for this statement. 3:46 It will also see in a glance the amount invoiced in this once. And now we can also see add the referral to this statement so the referral information will be shown.

Emailing or Printing the Statement

4:00 And if we click on actions we can either email this statement to the client or print it out. Let's click print just to have the preview of what has been included. 4:13 When you click print or email you will have a chance to rename this document so that instead of the default statement and its number it can show different information. 4:28 for example the time period and click okay and they go here's the preview of the statement that has been generated let's have a look so it has the title that you gave it so you can rename the title of this document it's number the period and the date it was generated. 4:59 Here is the custom text for top of invoices and statements. That's what you can enter and have a showing on your statement as well. 5:08 Then the provided by information is here. So this is the practitioner information. And invoice to and supply to. So who received the services provided and then below you will see all the invoice items listed in a table and it will be also showing the amount total and the amount owing and if there were 5:41 any payments allocated and received during this statement period there will also be shown here at the bottom of the document. 5:51 Wonderful and now you can download or print this statement or alternatively. If you click on this cog wheel icon you can select email again, give it a title, change it and you will be able to select it to send it to the client and also for example the contact of the client. 6:13 You can change and use a different statement, email template and adjust the wording in that email the way you want it. 6:25 And just send that email and the statement will be emailed to the client and to other copied profiles that you've selected. 6:36 And now if we go into the client's communication activity, we will see the record that this This statement has been sent to the client.
