New Portal Forms Page
We have introduced a new option for the client portal to allow clients to view, submit, and download the forms assigned to them in their client profile. This is optional, and will be off by default so there will be no changes to how you share forms and how clients view and submit them.
If you decide the enable the portal forms page, clients will be able to login to access the portal to view the forms you have made visible for them on the portal.
You will have total control over what forms are visible on this page. By default, no forms will be visible to clients until you make them visible. This is to ensure that no clinical information is exposed to the client on the portal without your choosing. You will be able to choose per form template, and per client form in their profile what is visible on the portal or not.
Clients will only be able to view the forms for this profile once they have logged in to the portal.
The form links shared with clients will still be accessible via the link, and there will be no impact to that functionality. If you do not have the portal forms page enabled, then clients can continue to access forms via the link you share with them. Learn more here.
Updated Portal Access Settings
The client portal is currently accessible when client bookings are enabled. This is done by toggling on the setting to allow clients to book online. Once enabled, clients can access the portal to book an appointment, view upcoming appointments, and if enabled can view and pay for their invoices.
Current Portal Access and Settings Page:
With these changes, the client portal has been enhanced to allow you to choose to enable the portal independently to access either online bookings, viewing the invoices page (to pay, or download invoices), and viewing the portal forms page (to view, complete, and download forms). These pages can each be enabled independently of each other, so that for example if your practice does not support online bookings you can still utilize the portal for client to either view their invoices or their forms.
Updated Portal Settings Page:
Some details on these changes:
- If you toggle off online bookings and the invoices page for example, your portal will still be accessible but will only show the portal forms page:
Clients accessing the portal would only see the page that is enabled for access:
- If you decide to toggle off all pages, then the portal will not be accessible:
- These changes also support setting up your client portal settings without needing to make the portal available. This allows you to configure your settings without needing to enable access to any of the pages.
- In addition to greater control over what clients can access on your portal, the labels on this page have been updated for clarity, and tooltips added where necessary to provide more information on the functionality of each setting.
- The design of the page has been updated to make clear the General Settings that apply if the portal is enabled for any of the pages (online bookings, invoices, or forms). This includes allowing new clients to register, and how they will receive their verification, as well as the home page message shown on the portal.
- The option to display the business name on the portal has been moved to the Branding page, where it joins the option to upload a logo to display on the portal.
Future additions to the client portal
We have many more improvements planned for the client portal expected to be released this year, some of which include:
- Allowing clients to join the waitlist via the portal
- Allowing clients to reschedule their appointments on the portal (and automatically allocate the payment to the new invoice)
- Allow clients to update their portal password when logged in
- Limiting services shown based on the practitioner they are available for
- A new portal design and options for personalized branding
FAQs
- Will I need to do anything when this change is released?
No, there is no need for you to change anything when this is released, unless you want to start using the new portal forms page, or enable access to the invoices page without allowing online bookings for example. If you are happy with your current portal settings, then there are no changes required and your clients will have continued access to the portal based on your existing settings.
